Key Responsibilities:

  • Greet clients, visitors, and vendors in a professional and friendly manner.
  • Answer and direct incoming phone calls, providing information and assistance as needed.
  • Schedule appointments and maintain the office calendar, coordinating with real estate agents and clients.
  • Handle incoming and outgoing mail and deliveries.
  • Assist in maintaining client databases and updating property listings.
  • Perform basic clerical duties such as filing, photocopying, and scanning documents.
  • Ensure the reception area is clean, organized, and welcoming.
  • Assist with administrative tasks such as data entry, record keeping, and preparing documents for meetings.
  • Handle general office duties, including ordering supplies and coordinating with vendors.
  • Assist with occasional event coordination and client meetings.

Qualifications:

  • Previous experience as a receptionist or in a customer service role, preferably in a real estate or office setting.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (copiers, printers, etc.).
  • Ability to multitask, prioritize, and manage time efficiently.
  • Attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Knowledge of real estate terms and procedures is a plus but not required.
