Full job description
We are seeking a highly organized, smart and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office.
Key Responsibilities:
- Provide high-level administrative support to executives or senior management
- Manage calendars, schedule meetings, and coordinate appointments across teams
- Prepare, review, and manage correspondence (emails, letters, reports, presentations)
- Organize meetings: prepare agendas, take minutes, and follow up on action items
- Act as a liaison between executives, internal departments, and external stakeholders
- Manage Purchasing of office Supplies.
- Handle Inbound and Outbound Emails
- Must be familiar with the process of applying for permits and access passes for major communities such as Emaar, Nakheel, and DAMAC Hills.
Qualifications:
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field
- Proven experience as an executive secretary, personal assistant, or senior administrative role.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software
- Minimum of 3–5 years of experience supporting senior executives (may vary by organization)
