Full job description

We are seeking a highly organized, smart and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office.

Key Responsibilities:

  • Manage executive calendars, appointments, meetings, and travel arrangements
  • Prepare, review, and edit correspondence, reports, presentations, and agendas
  • Handle confidential information with a high level of professionalism and discretion
  • Coordinate meetings, take minutes, and follow up on action items
  • Screen and prioritize emails, calls, and visitors on behalf of executives
  • Maintain organized filing systems (physical and digital)
  • Support special projects and administrative tasks as assigned
  • Must be familiar with the process of applying for permits and access passes for major communities such as Emaar, Nakheel, and DAMAC Hills.

Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field
  • Proven experience as an executive secretary, personal assistant, or senior administrative role.
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software
  • Problem-solving and decision-making abilities
  • Minimum of 3–5 years of experience supporting senior executives (may vary by organization)
  • Ability to maintain confidentiality and handle sensitive information
