Full job description
We are seeking a highly organized, smart and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office.
Key Responsibilities:
- Manage the executive’s calendar, schedule meetings, and coordinate appointments.
- Act as the primary point of contact between the executive and internal/external parties.
- Support decision-making by providing organized information and summaries.
- Attend meetings to take minutes, prepare agendas, and follow up on action items.
- Maintain confidentiality of all sensitive business information.
- Coordinate communication between departments and senior management.
- Manage event planning such as conferences, workshops, and executive meetings.
- Perform basic office management duties (supplies, vendor coordination, etc.).
- Ensure information is accurate, timely, and effectively communicated.
- Prepare, format, and edit correspondence, reports, presentations, and documents.
Qualifications:
- Bachelor’s degree in Business Administration, Management, Secretarial Studies, or a related field (preferred but not always mandatory).
- Excellent communication skills (written and verbal).
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Problem-solving and decision-making capability.
- 2–5 years of experience in administrative or secretarial roles.
- Experience supporting senior-level executives is a major advantage.
- Knowledge of office procedures, business etiquette, and document management.
