Executive Secretary

Full job description

We are seeking a highly organized and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office. Prior experience in an executive support role is preferred.

Qualifications:

  • Manage and maintain executive schedules, appointments, and travel arrangements.
  • Monitor and prioritize incoming communications (emails, letters, memos).
  • Ability to draft professional emails, correspondence, reports, and presentations.
  • Screen phone calls, inquiries, and requests, and handle them when appropriate.
  • Organize and prepare meetings, including agenda preparation, minutes recording, and follow-up actions.
  • Handle confidential documents and maintain proper filing systems.
  • Coordinate with other departments, clients, and external partners on behalf of executives.
  • Perform general office management duties as required.
  • Excellent written and verbal communication skills (English required; Arabic or other languages an advantage).
  • Scheduling and coordinating meetings and appointments.
  • Bachelor’s degree in Business Administration, Management, Secretarial Studies, or related field (preferred).
  • 3–5 years of proven experience as an Executive Secretary, Personal Assistant, or similar administrative role.
