Aston Gate Real Estate is seeking a highly organized and driven Executive Assistant / Personal Assistant to support the CEO in daily operations, client communication, scheduling, sales coordination, and business development activities.

This role requires someone who is fast, accurate, reliable, and able to operate independently in a high-pressure real estate environment.
Real estate experience in Dubai is strongly preferred.

Key ResponsibilitiesExecutive Support

  • Manage the CEO’s daily schedule, appointments, reminders, and travel logistics.
  • Prepare documents, presentations, WhatsApp communications, and follow-ups.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Act as the point of contact between the CEO, clients, agents, and partners.

Sales & Client Coordination

  • Assist with off-plan and secondary sales coordination.
  • Prepare availability sheets, booking forms, proposals, and client files.
  • Attend meetings with clients when required (office, hotel lobbies, cafés, sales centers).
  • Follow up with developers, agents, and prospects to support deal progression.

Operational Support

  • Update CRM, track leads, monitor follow-ups, and maintain accurate records.
  • Support recruitment, onboarding, and communication with new agents.
  • Coordinate internal tasks with marketing, admin, and sales teams.
  • Handle ad-hoc operational requirements as assigned by the CEO.

Communication & Presentation

  • Draft professional emails, WhatsApp messages, and reports on behalf of the CEO.
  • Ensure communication is timely, consistent, and aligned with company standards.
  • Assist in preparing proposals, investor briefs, and internal documentation.

Requirements

  • Minimum 1–3 years of experience as an Executive Assistant or Personal Assistant.
  • Experience in Dubai real estate is highly preferred (off-plan or secondary).
  • Strong command of English (written and verbal).
  • Highly organized, proactive, and able to multitask.
  • Fast response time and excellent follow-up skills.
  • Ability to work in a mobile environment (office, meetings, fieldwork).
  • Professional appearance and strong client-facing communication skills.
  • Ability to handle pressure, deadlines, and constant operational demands.
