We are looking for an Executive Assistant to provide high-level administrative and operational support to our Chief Sales Officer (CSO) and broader leadership team. This role is pivotal in ensuring seamless day-to-day coordination, communication, and time management for executive functions.

Key Responsibilities

Executive & Administrative Support

  • Manage calendars, appointments, and travel schedules for the CSO and senior leadership.
  • Organize internal and external meetings, including preparation of agendas, minutes, and follow-ups.
  • Maintain confidentiality while handling sensitive company and personnel information.
  • Draft, review, and manage executive communications, reports, and presentations.

Operations & Coordination

  • Serve as the liaison between executives and internal teams to ensure smooth workflow.
  • Track action items and ensure timely execution across departments.
  • Coordinate with vendors, clients, and external stakeholders as needed.
  • Manage basic office operations and procurement tasks.

Project Assistance & Reporting

  • Assist in preparing business reports, dashboards, and performance summaries.
  • Support the CSO with sales documentation, CRM updates, and executive summaries.
  • Help plan and execute internal events, workshops, or executive offsites.
  • Continuously improve processes and workflows for executive efficiency.

Requirements:

  • 1–3 years of experience in executive assistance, office administration, or similar roles.
  • Strong organizational skills and attention to detail with the ability to prioritize effectively.
  • Proficient in Microsoft Office Suite, Google Workspace, and scheduling tools like Calendly.
  • Excellent communication skills, both written and verbal.
  • Familiarity with CRM systems (e.g., Salesforce, HubSpot) is a plus.
  • Ability to maintain confidentiality, work under pressure, and adapt to change.
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
