Job Overview
We are looking to hire a Documents Controller who will also handle front desk and reception duties. The ideal candidate must have strong English communication skills and a minimum of 3 years of experience in the same or a similar role. This position requires high attention to detail, strong organizational skills, and a professional attitude when dealing with clients and visitors.
Responsibilities:
- Manage, organize, and maintain all company documents (contracts, invoices, shipping/export documents, client files).
- Ensure proper filing and archiving of documents (both digital and hard copies).
- Track document status and follow up with relevant departments to complete missing or pending documents.
- Prepare regular reports related to documentation status.
- Ensure confidentiality and proper document security at all times.
- Welcome and assist visitors and clients in a professional manner.
- Answer and direct phone calls efficiently.
- Manage meeting schedules and appointments.
- Handle incoming and outgoing mail and deliveries.
- Provide general administrative support to the office.
Requirements
- Minimum 3 years of experience in the same or a similar role.
- Excellent English skills are mandatory (spoken and written).
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Strong organizational skills with high attention to detail.
- Professional appearance and communication skills.
- Ability to multitask and work under pressure.
- Experience in automotive, shipping, or export companies is a strong advantage.
