Core Responsibilities
- Document Management: Creating, receiving, logging, numbering, filing, scanning, and distributing documents.
- Version Control: Ensuring only the latest, approved versions of documents are in use, tracking revisions.
- Quality Assurance: Checking documents for accuracy, completeness, and compliance with standards and policies.
- Storage & Security: Securely storing both electronic and hard copies, managing access, and implementing security measures.
- Reporting & Support: Generating reports, providing document access, and assisting teams and auditors.
Key Skills & Qualifications
- Strong organizational and detail-oriented skills.
- Proficiency with MS Office and document management software (like SharePoint).
- Excellent communication (written/verbal) and interpersonal skills.
- Understanding of Quality Management Systems (QMS) and regulatory compliance.
Typical Duties
- Processing technical drawings, reports, and contracts.
- Setting up and maintaining filing systems (electronic/physical).
- Training staff on document control procedures.
- Liaising with project teams and management.
- Managing document archives and secure disposal.
