Key Responsibilities:
- Establish and maintain a comprehensive document control system for managing drawings, submittals, reports, and project correspondence.
- Coordinate the distribution and flow of documents between internal teams, consultants, contractors, and regulatory bodies.
- Track document submissions and approvals, ensuring timely processing and proper version control.
- Maintain accurate electronic and hard copy records of all documentation, including revisions and metadata.
- Review document formats and naming conventions for compliance with client and authority requirements.
- Generate reports for internal use, project reviews, and audits as needed.
- Assist project managers and engineers with document retrieval and submissions.
- Safeguard sensitive information and ensure secure handling of project data.
- Liaise with IT and project staff to optimize use of document control platforms.
- Conduct regular audits of documentation systems and processes.
- Collaborate across departments to improve document workflows and control efficiency.
What do we need from you
Bachelor’s degree in Administration or a related field.- Minimum 5 years of experience as a Document Controller on construction projects in the UAE, with at least 3 years in a consultancy role.
- Strong knowledge of document control systems, practices, and industry standards.
- Proficiency in MS Office Suite (Word, Excel, Outlook), Adobe Acrobat, and document control platforms such as Aconex and ASITE.
- Familiarity with documentation protocols, submission procedures, and local regulatory requirements.
- Excellent organizational and time management skills, with the ability to handle high volumes of documentation accurately.
- Meticulous attention to detail and commitment to quality.
- Strong verbal and written communication skills.
- Ability to perform under pressure and meet tight deadlines.
- Solid understanding of construction industry documentation standards.
