Document Controller

Overview

The Document Controller will be responsible for establishing and maintaining an efficient document control system. The successful candidate will play a key role in ensuring the accuracy, accessibility, and compliance of project documents, contributing to the overall success of the projects.


Your Job Functions (Duties & Responsibilities)

Document Control System:

  • Establish and maintain a centralized document control system for all project-related documentation.
  • Develop and implement document control procedures and workflows.

Document Management:

  • Receive, log, and distribute incoming project documents to relevant stakeholders.
  • Ensure proper version control and naming conventions for all documents.

Organizing and Filing:

  • Organize and categorize documents in a systematic and accessible manner.
  • Create and manage electronic and physical filing systems.

Quality Assurance:

  • Conduct regular quality checks on documents to ensure accuracy and completeness.
  • Collaborate with project teams to address and correct discrepancies.

Access Control:

  • Manage access permissions to documents, ensuring that only authorized personnel have access.
  • Monitor and track document access history.

Collaboration with Project Teams:

  • Work closely with project managers, engineers, and other team members to understand document requirements.
  • Facilitate the flow of documents between internal and external stakeholders.

Document Retrieval:

  • Ensure the timely retrieval of documents as requested by project teams or external auditors.
  • Maintain an efficient document retrieval system.

Training and Support:

  • Provide training to team members on document control processes and systems.
  • Offer ongoing support and guidance on document control matters.

Requirements

  • Bachelor’s degree in business administration, Information Management, or a related field.
  • 5 to 7 years of proven experience as a Document Controller, preferably in the energy or water industry.
  • Familiarity with document control software and systems.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Proficient in document control software and Microsoft Office applications.
  • Good communication and interpersonal skills.
