Job Summary
We are seeking a reliable and detail-oriented Dispatcher / Admin to manage daily dispatch operations while providing administrative support to ensure smooth and efficient workflow. The ideal candidate will be highly organized, able to multitask, and comfortable coordinating between drivers, technicians, and internal teams.
Key Responsibilities
Dispatch & Coordination
- Schedule, dispatch, and monitor drivers/technicians based on daily operational requirements
- Communicate job details, routes, and timelines clearly to field staff
- Track vehicle movements, job status, and delivery/service completion
- Handle incoming calls and respond to service requests promptly
- Resolve scheduling conflicts and urgent operational issues
Administrative Support
- Maintain accurate records, logs, and reports related to dispatch activities
- Prepare daily/weekly schedules and operational reports
- Handle documentation such as job sheets, delivery notes, and timesheets
- Assist with invoicing, data entry, and filing
- Support management with general office administration tasks
Communication & Compliance
- Act as a point of contact between operations, clients, and drivers
- Ensure compliance with company policies, safety procedures, and regulations
- Follow up on delays, incidents, or customer concerns
Requirements
- High school diploma or equivalent (Diploma or Bachelor’s preferred)
- Proven experience in dispatching, coordination, or administrative roles
- Strong organizational and time-management skills
- Excellent communication skills in English (additional languages are a plus)
- Proficient in MS Office (Excel, Word, Outlook)
- Ability to work under pressure and manage multiple tasks
Preferred Skills
- Experience in logistics, transportation, construction, or service-based industries
- Familiarity with GPS tracking or dispatch software
- Basic knowledge of invoicing and reporting
