Job Summary:
We are looking for a friendly, organized, and professional Administrative Secretary / Receptionist to serve as the first point of contact for our office. This role is essential in supporting daily administrative operations and ensuring a positive experience for visitors and callers.
Key Responsibilities:
- Greet visitors and direct them to the appropriate staff
- Answer, screen, and route incoming phone calls
- Manage front desk operations and maintain a professional reception area
- Schedule appointments, meetings, and manage calendars
- Handle incoming and outgoing mail and deliveries
- Prepare documents, reports, and correspondence
- Maintain filing systems (physical and electronic)
- Assist with general office administration and clerical tasks
- Support management and other departments as needed
Required Qualifications
- High school diploma or equivalent (Associate’s degree preferred)
- 3+ year experience as a receptionist or administrative assistant
- Strong verbal and written communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent organizational and multitasking abilities
- Professional appearance and positive attitudes
Preferred Qualifications
- Experience in a corporate or professional office environment
- Familiarity with office equipment (phones, printers, scanners)
- Basic knowledge of record keeping and data entry
