Job Summary
We are a Dubai-based company operating in the lighting and lighting control systems industry, supplying products and solutions to projects and clients across the UAE and region.
We are looking for a reliable and detail-oriented Administrative & Operations Officer to support the day-to-day running of our office and operational workflow.
The role has a strong focus on logistics coordination, supplier follow-up, and basic finance/admin support, particularly related to lighting products, components, and control systems.
Reporting directly to the Business Owner, this position acts as a central point of contact between suppliers, logistics providers, accounts, and internal teams, ensuring smooth and well-coordinated operations.
Key Responsibilities
Logistics & Operations
- Coordinate local and international shipments with couriers and freight forwarders
- Ensure correct shipment documentation (commercial invoices, packing lists, delivery notes, certificates when required)
- Track shipments and follow up on delivery status until final receipt
Supplier Coordination
- Handle day-to-day communication with local and international suppliers
- Send and follow up on purchase orders, confirm prices and lead times
- Track pending deliveries and escalate delays or discrepancies when required
Administration & Office Support
- Manage general office administration and document control
- Handle filing, records management, and basic HR/admin support
- Maintain office supplies, service contracts, and administrative trackers
Finance & Data Support
Support the finance team with basic tasks such as:
- Preparing payment requests
- Collecting and organizing supplier invoices
- Reconciling supplier statements
Maintain accurate data in Excel spreadsheets and/or ERP systems (items, suppliers, shipment status, basic costs)
Prepare operational and logistics reports when requested
Skills & Qualifications
- Previous experience in an administrative, operations, or logistics support role, preferably in trading, distribution, or project-based environments in the UAE
- Experience related to lighting, electrical products, building materials, or technical trading is a strong advantage
- Strong organizational skills with high attention to detail
- Ability to manage multiple shipments, orders, and administrative tasks simultaneously
- Good English communication skills (spoken and written); Arabic is an advantage
- Confident user of MS Office, especially Excel and Outlook
- Experience with basic accounting processes or ERP systems is a plus
