ABOUT THE ROLE

We’re looking for a highly organized and proactive Administrative Assistant to support our leadership team. You’ll provide support from scheduling and coordination to light finance support — helping us stay focused on scaling two fast-growing brands in the cross-cultural marketing and influencer tech space.

RESPONSIBILITIES

Administrative & Scheduling:

  • Keep the Directors organized — managing calendars, meetings, travel, and logistics seamlessly.
  • Drive business outreach by researching leads, sending emails, and managing follow-ups.
  • Support submissions for awards, funding, partnership opportunities, etc.
  • Coordinate contracts and documentation — from comments reviews to signatures and filing.
  • Maintain accurate company records and databases, ensuring smooth workflows and compliance.
  • Supporting day-to-day operations, including supplies, rentals, memberships, insurance, vendor relations, and equipment inventory.

Finance Support:

  • Assisting the finance team on invoices, expenses, bookkeeping, reconciliations, and procurement.
  • Supporting account set up, client set up, company registration, etc
  • Track budgets, payments, and reimbursements to help keep operations on target.
  • Liaise with vendors and suppliers to ensure timely and accurate financial coordination.

Ad hoc tasks may be assigned as needed and the tasks outlined above may not encompass all duties required in day-to-day operations. The company reserves the right to modify or change the responsibilities of the role in accordance with evolving business needs.

Requirements

  • Diploma/Bachelor’s degree in Business Administration, Finance, or related field.
  • 3–5 years of hands-on experience in administration, executive support, or finance assistance.
  • Confident using AI tools, Microsoft Office, and Google Workspace (Excel/Sheets proficiency preferred).
  • Excellent organizational, multitasking, and time management skills.
  • Strong command of English & Chinese proficiency.
  • Excellent communication and interpersonal skills.
  • High attention to detail and ability to maintain confidentiality.
