Position: Administrative Assistant
Responsibilities:
– Task Coordination: Follow up with team members to ensure timely completion of assigned tasks and projects.
– Time Management: Monitor staff attendance, ensuring they arrive and leave punctually.
– Client Communication: Contact clients to gather their new requirements and effectively relay the information to the relevant staff members.
– Schedule Management: Assist in managing the schedules and appointments of company executives, making necessary arrangements and reminders.
– Customer Support: Handle incoming phone calls and inquiries from potential clients, providing them with accurate information and excellent service.
– Social Media Engagement: Monitor and respond to client queries and messages on social media platforms, maintaining a positive and professional online presence.
– Quotation Preparation: Prepare quotations and proposals for potential clients, ensuring accuracy and timely delivery.
Deal Closure: Work towards closing deals by following up with clients, addressing their concerns, and providing necessary information.
Requirements:
- High school diploma or equivalent; bachelor’s degree is a plus.
- Proven experience in an administrative or office management role.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Ability to multitask and prioritize responsibilities effectively.
- Proficiency in using office software, including Microsoft Office Suite.
- Familiarity with social media platforms and customer relationship management (CRM) systems is desirable.
- Exceptional customer service and interpersonal skills.
- Ability to work independently and collaboratively in a team environment.
- Attention to detail and strong problem-solving abilities.
