Admin Receptionist

Front Desk Operations & Customer Service

  • Greet and welcome patients and visitors professionally.
  • Schedule, confirm, and manage appointments.
  • Handle patient inquiries (in person, phone, email) regarding services, hours, fees, and procedures.
  • Register new patients, verify personal and insurance info, and enter data accurately.
  • Use NABIDH, UniteCare, and other systems for data entry and patient management.
  • Notify clinical staff of arrivals and manage patient flow.
  • Address and escalate patient concerns as needed.
  • Provide guidance on check-ins, payments, and prep for appointments.

Administrative & Organizational Duties

  • Ensure compliance with UAE data protection laws and DHA regulations.
  • Maintain accurate documentation (registration forms, appointment logs, etc.).
  • Use systems (NABIDH, UniteCare, etc.) for scheduling, billing, and reporting.
  • Ensure timely data entry and reporting to avoid operational or regulatory issues.
  • Prevent unauthorized data access and report breaches immediately.
  • Assist in preparing administrative paperwork (e.g. consent forms, billing records).
  • Join training sessions and team meetings to stay updated on policies and systems.
  • Implement clinic policies, procedures, and updates from management.

Office Equipment & Supplies Handling

  • Properly use and maintain equipment (computers, phones, printers, etc.).
  • Report equipment malfunctions promptly.
  • Monitor inventory (stationery, forms, brochures) and report shortages.
  • Process payments, issue receipts, and maintain financial records in clinic systems.
  • Securely handle sensitive data and financial info in compliance with regulations.

Professional Development

  • Participate in training programs and workshops to enhance skills.
  • Stay informed on best practices in customer service and admin processes.
  • Share suggestions to improve clinic efficiency and patient experience.
  • Meet development and performance standards as set by the employer.

Reception Area Setup

  • Prepare the reception area before clinic hours, ensuring readiness of supplies and systems.
  • Ensure NABIDH and UniteCare software are operational before starting duties.
