Full job description

We are a trading company based in Dubai looking for General Admin Assistant;

  • Manage daily office operations, including filing, correspondence, scheduling, and record-keeping.
  • Handle phone calls, emails, and inquiries, ensuring timely responses.
  • Prepare and maintain reports, documents, and presentations as required.
  • Maintain accurate records of company files, contracts, and official documents.
  • Prepare purchase orders, invoices, and shipment-related documents when required.
  • Update and monitor databases to ensure data accuracy and availability.
  • Track and follow up on international shipments from origin to destination.
  • Coordinate with freight forwarders, shipping lines, and customs brokers to ensure timely delivery.
  • Prepare and review shipping documents such as invoices, packing lists, and bills of lading.
  • Update management on shipment status, delays, and any issues encountered.
  • Ensure compliance with import/export regulations and company procedures.
  • Provide administrative support to other departments as needed.
  • Assist in monitoring office supplies and placing purchase requests.
  • Support HR with administrative tasks such as leave records and onboarding.
  • Generate reports related to shipments, expenses, and administrative activities.
  • Maintain follow-up logs for pending tasks and ensure timely completion.
  • Escalate shipment or documentation issues to management when necessary.
