About the Role

AGS Security Management (UAE office), is seeking a dedicated and detail-oriented Accounts Payable Assistant. We are looking for a motivated professional who will be a key part of our finance team, responsible for ensuring accurate billing, processing payments, and maintaining precise financial records. The ideal candidate is a proactive professional with strong communication skills and a meticulous eye for detail. This role is crucial for managing financial operations and ensuring seamless coordination between our UAE support office and our US headquarters in Los Angeles.

Key Responsibilities

Payment Processing & Deposits

  • Accurately receive, process and reconcile client payments, prepare bank deposits, and resolve any payment discrepancies.

Billing & Invoicing

  • Generate and send invoices to clients based on service agreements.
  • Ensure invoices reflect accurate guard hours and services provided.
  • Work closely with the dispatch team to verify timekeeping records for billing accuracy.

Accounts Reconciliation & Accuracy

  • Monitor accounts receivable balances, follow up on overdue invoices and professionally resolve any billing disputes or discrepancies
  • Maintain precise records of transactions, adjustments, and reconciliations.

Vendor & Subcontractor Coordination

  • Communicate with vendors to ensure accurate and timely invoicing and address any discrepancies or billing issues.
  • Verify subcontractor invoices against actual services rendered.

Reporting & Communication

  • Prepare AR aging reports, daily payment status updates, and reconciliation reports and clearly present financial findings to management.
  • Ensure compliance with company financial policies and internal audit requirements.
  • Report all updates, discrepancies, and financial matters directly to your Department Manager on a regular basis.

Qualifications & Skills

  • Bachelor’s degree or diploma in Accounting/Finance (preferred).
  • 2–8 years of proven experience in accounts payable, receivables, or bookkeeping.
  • Strong English communication skills (both written & spoken).
  • Excellent proficiency in MS Excel and familiarity with accounting software.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work independently while meeting deadlines.
  • Must be able to work night shift (UAE time zone) to align with Los Angeles operations.
