Responsibilities:
- Ability to liaise with a wide variety of staff and clients at all levels.
- Able to act on own initiative and operate in a proactive way.
- Secretarial assistance to the overall management of AtkinsRéalis projects.
- Non-technical coordination with the project team, Client and sub-consultants.
- Provide support to Project Managers in the preparation and compilation of various project documents such as design, tender and technical documents/reports.
- Responsible for project document control:
- Establish and maintain the project filing in accordance with the Quality Management System
- Organise and follow-up timely project document deliveries
- Typing and handling of various project communications
- Create and maintain outgoing document & correspondence register
- Create and maintain project network directory
- Handle project queries/communication in the absence of project team
- Preparation and distribution of controlled project documents such as Project Quality Procedures/Change control forms
- Preparing project specifications
- Assist the Project Managers with the preparation and issuing of tenders and tender bulletins
- Provide support to Project Managers during project audits
- Coordinate tender submissions and prepare documentation for tender opening meetings
- Assist in preparing tender analysis reports and recommendation to the Client
Qualifications:
- Bachelor’s degree
- 9+ years of relevant experience as an Executive Secretary in UAE
- English & Arabic communication skills
- Decent Typing skills
- Good computer skills
