ROLE PURPOSE

As a Spare Parts Supervisor, you will be responsible for supervising spare parts operations, inventory control, parts availability, stock accuracy, ordering, receiving, issuing, and coordination with service center teams. You will play a key role in ensuring the right parts are available at the right time, supporting workshop efficiency, reducing service delays, controlling stock movement, and maintaining accurate spare parts records within a dynamic automotive service center environment in Abu Dhabi, United Arab Emirates.

KEY RESPONSIBILITIES

  • Monitor daily parts activities.
  • Ensure proper parts availability.
  • Maintain accurate stock records.
  • Supervise spare parts operations.
  • Track parts requests and deliveries.
  • Control parts receiving and issuing.
  • Maintain parts storage organization.
  • Support workshop parts requirements.
  • Monitor fast-moving and slow-moving items.
  • Ensure accurate stock counts and inventory updates.
  • Follow up on pending, back-ordered, and urgent parts.
  • Coordinate with service advisors and workshop teams.
  • Ensure parts are issued correctly against approved jobs.
  • Review parts requisitions, job cards, and internal requests.
  • Maintain proper filing of invoices, delivery notes, and parts records.
  • Support technicians by ensuring timely availability of required spare parts.
  • Coordinate with suppliers, vendors, logistics, and procurement when required.
  • Monitor parts pricing, availability, stock movement, and order status when required.
  • Conduct regular stock checks, cycle counts, inventory reviews, and discrepancy reports.
  • Report stock shortages, damaged parts, wrong parts, delays, or operational issues immediately.
  • Ensure proper handling, labeling, storage, and safekeeping of spare parts and consumables.
  • Maintain confidentiality of supplier information, pricing, inventory records, and company matters at all times.
  • Ensure compliance with company policies, approval processes, stock control procedures, and documentation standards.
  • Coordinate with finance, procurement, warehouse, service advisors, technicians, quality control, and management when required.
  • Support warranty, service, body shop, maintenance, vehicle preparation, and customer repair operations through accurate parts support.
  • Identify opportunities to improve parts ordering, stock control, storage layout, documentation accuracy, cost control, and workshop support.
  • Ensure all parts transactions, returns, exchanges, transfers, adjustments, and inventory movements are properly documented and approved.
  • Maintain a professional supervisory presence, strong attention to detail, positive communication, and excellent conduct while representing the Parts Department.
  • Continuously support service center efficiency by reducing parts-related delays, improving stock accuracy, supporting technician productivity, and maintaining strong coordination across operations.

QUALIFICATIONS

  • Valid UAE driving license is preferred.
  • Strong planning and organization skills.
  • Strong attention to detail and accuracy.
  • Good communication and coordination skills.
  • Professional appearance, attitude, and conduct.
  • Ability to communicate clearly in English is required.
  • Arabic language skills or additional languages are preferred.
  • Ability to supervise, guide, and support parts staff effectively.
  • Ability to work under pressure and manage urgent parts requirements.
  • Ability to identify parts discrepancies, wrong items, stock gaps, and documentation errors.
  • Ability to read job cards, parts catalogs, invoices, delivery notes, and inventory reports.
  • Good knowledge of automotive spare parts, consumables, stock movement, ordering, receiving, issuing, and storage practices.
  • Good knowledge of ERP systems, inventory systems, MS Excel, email communication, stock reports, and parts documentation.
  • Ability to coordinate professionally with service advisors, technicians, suppliers, finance, procurement, logistics, customers, and management.
  • Previous experience as a Spare Parts Supervisor, Parts Advisor, Parts Controller, Inventory Supervisor, Warehouse Supervisor, Storekeeper, or related automotive parts role is required.
  • Minimum 3–5 years of experience in automotive spare parts, inventory control, parts operations, warehouse, procurement support, or service center parts coordination, preferably within dealership, premium automotive, authorized service center, or automotive trading environments.
