About the Role:

We are looking for a highly organized and personable Receptionist/Admin to be the first point of contact for our company. As the Receptionist/Admin, you will play a key role in providing excellent customer service, managing administrative tasks, and maintaining an organized and efficient front desk environment. The ideal candidate will have strong communication skills, a positive attitude, and the ability to multi-task in a fast-paced setting.

Key Responsibilities:

  • Front Desk Management:

Greet and assist visitors, ensuring a warm and professional welcome. Direct them to the appropriate person or department.

  • Phone and Email Handling:

Answer incoming calls and emails, providing information or redirecting to the relevant team members as required.

  • Appointment Scheduling:

Manage calendars, schedule meetings, and coordinate appointments for executives and team members.

  • Administrative Support:

Perform general administrative tasks, including filing, document management, data entry, and maintaining office supplies.

  • Meeting and Event Coordination:

Assist with organizing meetings, conferences, and company events, including room bookings, catering arrangements, and preparation of materials.

  • Record Keeping and Reporting:

Maintain and update client and visitor logs, prepare reports, and track office inventory.

  • Mail and Courier Handling:

Manage incoming and outgoing mail, packages, and courier services.

  • Customer Service:

Provide exceptional customer service, handling inquiries, resolving issues, and ensuring client satisfaction.

  • Office Organization:

Ensure the office environment is clean, organized, and stocked with necessary supplies.

  • Collaborative Work:

Support the HR, finance, and operations teams with additional tasks as needed.

  • Full-time role, with standard working hours (9:30 AM – 6:30PM), with occasional flexibility required for events or urgent tasks.
