Full job description
The Aftersales Operations Executive is responsible for managing all post-service administrative and operational activities at the workshop. This includes processing job cards, invoicing, accounts coordination, ERP data entry, and ensuring documentation compliance — acting as the backbone of smooth workshop operations.
Key Responsibilities
- Oversee end-to-end aftersales workflow from job card closure to invoice generation
- Identify bottlenecks in post-service processes and implement workflow improvements. Monitor pending jobs, follow-ups, and escalate unresolved cases
- Coordinate with service advisors and technicians to ensure timely job card completion and accuracy
- Maintain accurate and up-to-date filing systems for job cards, service records, and warranties
- Generate and verify customer invoices against completed job cards
- Coordinate with the accounts team on billing, payment follow-ups, and reconciliations
- Resolve invoice discrepancies with service advisors and parts team
- Accurately enter and update job card data, parts usage, and service records in the ERP system
- Generate reports on workshop productivity, pending jobs, and revenue
- Flag data inconsistencies and work with relevant teams to resolve them
Requirements
- 2-3 years of experience in an aftersales, operations, experience in automotive sector is mandatory
- Hands-on experience with ERP systems
- Working knowledge of invoicing and basic accounts processes
- High attention to detail and strong organizational skills
- Ability to work cross-functionally with service, parts, and finance teams
