Key Responsibilities

1. Attendance & Payroll

· Take daily biometric attendance and maintain manual Excel records

· Prepare monthly timekeeping summary and submit to Accounts after cross-checking with leave forms and attendance logs

2. Gate Pass Management

· Collect required documents (photo, passport, visa, Emirates ID)

· Apply for gate passes via and coordinate payment and approval on JAFZA portal

3. Leave & Ticket Management

· Process leaves forms (minimum 3 months before scheduled leave)

· Check ticket eligibility, prepare ticket forms with Cleartrip quotes, and submit to GM for booking

· Handle employee clearance and passport release for leave

4. Recruitment & Onboarding

· Search CVs on recruitment portals (Bayt, Naukri Gulf, Gulf Talent, Got Jobs)

· Schedule interviews, assist with hiring process, and prepare shortlists for management

· Issue offers letters, contracts, and coordinate visa processing with PRO

· Encode applicant data in EPR software

· Conduct new employee orientation, introduce to staff, create employee code in ERP, and apply for medical insurance & workmen’s compensation

5. Administrative Tasks

· Prepare monthly petrol summary using GPS data for all company vehicles

· Prepare performance reviews (probation & contract expiry)

· Prepare contract renewal letters

· Check Salik & parking fee submissions

· Monitor expiry dates of AMCs, insurances, and employee documents

· Maintain filing (hard copy & soft copy)

· Prepare expense summaries for gate passes and air tickets

Requirements

· Bachelor’s degree in HR, Business Administration, or related field

· 1–2 years of HR experience preferred

· Knowledge of UAE labor laws and visa processes

· Proficiency in MS Excel and HR software (EPR, ERP)

· Familiarity with JAFZA portal and Tasreeh system

· Strong organizational and communication skills

· Ability to handle sensitive information confidential
