Job Summary
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! Responsibilities
Greet visitors and clients warmly, ensuring a positive first impression of the office environment
Manage multi-line phone systems, directing calls professionally and efficiently using proper phone etiquette
Handle front desk duties including scheduling appointments, maintaining calendars, and managing incoming correspondence
Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
Support office management by coordinating supplies, maintaining cleanliness, and organizing files and documents
Provide customer support through courteous communication, addressing inquiries promptly and effectively
Assist with bookkeeping tasks using QuickBooks or similar software as needed for basic financial record keeping
Requirements
Bilingual/ Spanish communication capabilities.
Proven office experience or clerical experience demonstrating strong organizational skills
Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools
Strong communication skills with professional phone etiquette; bilingual abilities are a plus
Ability to manage multiple tasks efficiently while maintaining attention to detail
Experience with multi-line phone systems and front desk operations preferred
Knowledge of office management procedures including filing, proofreading, and calendar management
Personal assistant or medical/dental receptionist experience is advantageous but not required
Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment
