JOB SUMMARY:

We are seeking a highly skilled and organized Executive Assistant with scientific background to support our senior management team. The ideal candidate will have a minimum of 5 years of experience in providing administrative support and proficiency in English and Arabic.

The candidate will manage their executives day-to-day tasks so they can focus on strategic responsibilities.

This position requires a proactive and detail-oriented person capable of managing multiple tasks in a fast-paced environment.

KEY RESPONSIBILITIES:

  • Provide our executives the expected level of administrative needs like scheduling appointments, answering phone calls and replying to correspondence as necessary.
  • Draft, review and send communications on behalf of company executives.
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
  • Answer and respond to phone calls, communicate messages and information to the executive.
  • Coordinate travel arrangements
  • Maintain various records and documents for company executives.
  • Organize and coordinate internal and external events, including conferences, meetings and travel logistics involves the company executives.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support executive leadership in different ad hoc projects as needed.

QUALIFICATION:

  • Minimum of 5 years of executive assistant or in a similar administrative role, supporting senior-level executives.
  • Bachelor’s degree in any related filed.
  • Excellent written and verbal communication skills.
  • Proficiency in English and, knowledge of Arabic (both written and spoken) is preferred.
  • A background in a scientific field (e.g., biology, chemistry, engineering) is highly preferred.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
  • Ability to work independently with minimal supervision and manage multiple priorities.
  • Attention to detail and accuracy is essential.
  • Professionalism in Appearance to reflect the position.
