Sales & Catering Coordinator

Location: Oakville, Ontario – Onsite

Employment Type: Full-Time

Schedule: Monday to Friday with occasional or flexibility to work weekends and evenings.

Job Summary

The Sales & Catering Coordinator plays a key role in driving hotel revenue by serving as the first point of contact for incoming sales inquiries and group leads. This position is responsible for responding to all catering leads received via phone, email, Meeting Broker and third-party platforms in a timely and professional manner. The Sales & Catering Coordinator prepares proposals, contracts, and meeting bookings, supports the sales process from initial inquiry through event execution, and ensures accurate communication across all departments.

In addition to sales coordination, this role provides administrative and reporting support to the Director of Sales. The Sales Coordinator assists with office administration, sales reporting, banquet event orders (BEOs), and meeting space coordination, helping ensure organized sales operations and successful event delivery. This role is ideal for a detail-oriented, sales-minded professional looking to grow within the hospitality sales field.

Responsibilities

1. Respond promptly and professionally to all incoming sales and group inquiries via phone, email, Meeting Broker, and third-party platforms.

2. Qualify leads and maintain accurate records in the property’s CRM system (e.g., Opera, Salesforce) to support pipeline management and forecasting.

3. Prepare customized proposals, contracts, and group agreements that maximize revenue and align with brand standards.

4. Coordinate meeting bookings and room blocks, ensuring proper documentation and communication with operational teams.

5. Maintain and update the sales database, including lead status, follow-ups, and client contact information.

6. Support the General Manager, and Director of Sales (DOS) with sales reports, revenue analysis, and administrative tasks.

7. Conduct outbound sales outreach to generate new business opportunities, including prospecting, cold calls, and email campaigns.

8. Track and report on key performance metrics such as lead conversion, catering revenue, and group bookings.

9. Represent the hotel in client meetings, trade shows, and local networking events to build relationships and promote sales opportunities.

10. Collaborate with the Sales and Operations teams to ensure seamless communication, accurate BEOs, and proper execution of group requirements.

11. Maintain up-to-date knowledge of hotel products, services, pricing, and promotions to maximize sales opportunities.

12. Perform other sales-related duties as assigned to support revenue growth and team objectives.
