Responsibilities

  • Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy
  • Maintain organized filing systems, data entry records, and document proofreading to ensure information accuracy
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
  • Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies inventory
  • Provide customer support by addressing inquiries and resolving issues promptly and professionally

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior experience as a medical or dental receptionist is a plus, demonstrating familiarity with specialized front desk procedures
  • Ability to perform data entry accurately with good typing speed and attention to detail
  • Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
  • Personal assistant or medical receptionist experience is beneficial for understanding calendar management and patient/client interactions
