Construction Office Manager

Position Overview:
We are seeking a highly organized and detail-oriented Construction Office Manager to oversee daily administrative operations and support project execution. This role is critical in ensuring smooth communication between field teams, clients, vendors, and leadership while maintaining accurate financial and project documentation.

· Manage day-to-day office operations for a busy construction company

· Serve as a key point of contact for client communications, providing updates and ensuring a high level of service

· Manage and prioritize company email communications, ensuring timely and professional responses

· Coordinate with superintendents, subcontractors, and vendors

· Maintain strong relationships with vendors and subcontractors, including onboarding and ongoing communication

· Send project plans and specifications out for bid, track responses, and follow up with subcontractors

· Prepare and manage contracts, proposals, and project documentation

· Track and manage change orders, ensuring proper documentation, approvals, and cost updates

· Oversee invoicing, billing, and collections (including lien waivers and compliance)

· Maintain job cost tracking and assist with budgeting

· Process permits, licenses, and ensure regulatory compliance

· Handle scheduling, calendars, and internal communications

· Maintain organized filing systems for all project and financial records

Qualifications

· 3+ years of experience in construction administration or office management

· Strong knowledge of construction processes, contracts, and terminology

· Experience with QuickBooks (or similar accounting software)

· Excellent organizational, multitasking, and communication skills

· Proficiency in Microsoft Office (Excel, Word, Outlook)

· Ability to work in a fast-paced environment and manage multiple priorities

· Strong proficiency with Apple-based systems and applications

· Experience developing and managing Gantt charts for project scheduling

Preferred Skills

· Experience in residential and/or commercial construction

· Knowledge of permitting processes

· Strong problem-solving and leadership abilities

· Attention to detail and high level of accountability
