The Role – Duties and Essential Job Functions 

To be successful, Medical Assistant will do the following:  

  • Support the day-to-day operations of clinic compliance
  • Schedule and manage appointments for clinic donors
  • Scan, upload, and maintain, paper and electronic, donor charts
  • Accurately document regulatory and required clinic information, including External Infectious Disease Screening (EIDS)
  • Provide exceptional customer service skills, over the phone and in person, with our donors, customers and internal departments
  • Adhere to all HIPAA rules and regulations and maintain strict confidentiality of client, donor, and patient information.
  • Consent donors for collection and respond to donor questions professionally and clearly.
  • Demonstrate strong administrative skills, including:
  • Maintain an organized and professional reception area.
  • Respond to phone calls and electronic inquiries with accurate information.
  • Manage visitor logs and verifying identification
  • Maintain accurate courier logs, including documentation of all inbound and outbound deliveries.
  • Ensure all visitors, vendors, and couriers are properly logged, verified, and escorted at all times beyond the lobby area.
  • Enforce controlled access procedures by ensuring visitors, vendors, and couriers are handed off directly from one authorized staff member to another and are never left unattended outside of designated public areas.
  • Support site security and compliance requirements by following established visitor management and chain-of-custody procedures.
  • Complete CGT Global and client-specific paperwork with a high level of accuracy and attention to detail.
  • Support quality control (QC) checks on completed paperwork prior to shipping samples.
  • Properly label, package, and prepare samples for shipment.
  • Perform venipuncture and blood draws using approved protocols, if within state scope of practice.
  • Perform cell counts on samples and assist with bone marrow aspirations as needed.
  • May be required to check in and/or ship out products and supplies.
  • Effectively manage workload and time with minimal supervision.
  • Perform donor and patient intake procedures.
  • Assist with inventory management.
  • Communicate clearly and consistently with management and coworkers.
  • Perform other duties as assigned.
  • Maintain flexibility in work schedule, including occasional weekends, based on project and operational needs.

Minimum Qualifications 

Required: 

  • Education sufficient to perform assigned duties and to read, understand, and follow Standard Operating Policies and Procedures (SOPs) and regulatory materials.
  • Strong written and verbal communication skills.
  • Ability to work independently and follow established protocols to maintain quality systems.
  • Demonstrated critical thinking, problem-solving, and troubleshooting skills.
  • Strong attention to detail in a fast-paced environment.
  • Experience providing hands-on administrative support.
  • Valid driver’s license.
  • Ability to lift a minimum of 30 lbs.

Preferred Qualifications 

  • Experience in a medical office, hospital, blood bank, or similar clinical setting.
  • Phlebotomy certification (may be required depending on state regulations).
  • Hands-on venipuncture experience.
  • Certified Phlebotomy Technician I or II.
  • Knowledge and application of sterile and aseptic techniques.
  • Experience with Good Documentation Practices (GDP) and continuous improvement principles.
  • Proficiency with Microsoft Office applications, including Excel, PowerPoint, and Word.
