Summary

The primary function of the Catering & Event Coordinator is to assist in the development and implementation of Sales and Marketing strategies,along with the selling F&B for the purpose of maximizing profits for thehotel.

Essential Duties and Responsibilities

  • Serve as Catering & Event Coordinator for all food and beverage related business.
  • Coordinate all food and beverage/meeting room details with all clients requiring F&B or meeting room services.
  • Manage all incoming meeting and catering inquires/leads.
  • Responsible for accurate billing for all F&B and meeting room functions.
  • Support the Hotel Sales team with site inspections, client entertainment, familiarizations and other events outlined in the sales and marketing revenue plan.
  • Ensure that all client requirements have been confirmed and that these details are accurately and thoroughly communicated to the hotel operations team in a timely manner.
  • At all times understanding the client’s needs while optimizing hotel revenue through yield management and upselling facilities or service.
  • Act as primary point of contact for detailed meeting/event planning, working closely with Banquet Operations, F&B management, Reservations, Rooms Division Operation, Finance and external suppliers.
  • Ensure regular client contact when meetings /events are in-house through daily sales meetings, and ensure all hotel operational details are executed correctly.
  • Attend all pertinent staff meetings and make sure that 15 days forecast reviewed and given to all department heads. Conduct BEO meetings weekly to ensure that BEO are reviewed and information and scheduling are done properly operationally. Ensure that any changes to functions are conveyed to the proper departments and information is accurate and confirmed prior to disseminating to the operations staff.
  • Follow up with client to obtain event feedback and identify further business opportunities.
  • Ensure client feedback is communicated and acted upon internally and manage resolution of any issues with the client within 48 hours.
  • Maintain accurate tracking of call goals and prospecting in STS to meet and exceed outlined goals; submit with weekly recap every Friday. Calls and prospecting must be verified with ADOS for accurate tracking each week.
  • Keep updated of competitor activities to ensure our product and services are ahead of competition.
  • Meet or exceed goals for budgeted revenue along with any and all daily, weekly, monthly and/or annual sales call goals as directed by the Area Director of Sales and hotel management.
  • Be aware of tone and composure when addressing clients and other Associates.
  • Maintain relationships with current clients whether through phone calls, e-mails, or site tours on property.
  • Respond to all Sales Leads within 24 hours.
  • Ensure that guests’ names are used throughout your interaction with them.
  • Conduct Site Tours of the property for prospective clients.
  • Comply with Lobby Lizard duties each week.
  • Comply with all company standards and policies, as established in the employee handbook
  • Other duties as assigned.
