We are seeking a dynamic and highly organized Front Desk Administrator to serve as the welcoming face of our organization. This vital role requires an individual who excels at managing front desk operations, handling multi-line phone systems, and delivering exceptional customer service to visitors, clients, and team members. KEY RESPONSIBILITIES
- Greet visitors and clients with warmth and professionalism, ensuring a positive first impression of the organization
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently while maintaining proper phone etiquette
- Coordinate appointment scheduling
- Perform clerical duties including data entry, filing, and maintaining accurate records using Microsoft Office Suite and Google Workspace applications
- Support office management functions including supply inventory control, mail distribution, and maintaining a professional reception area
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary
- Provide customer support by addressing inquiries promptly and professionally, utilizing bilingual communication skills as needed
REQUIRED QUALIFICATIONS
- Proven experience in administrative, clerical, or front desk roles with demonstrated success in office operations
- Proficiency in managing multi-line phone systems and delivering exceptional customer service interactions
- Advanced proficiency with office management software including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Drive)
- Strong organizational skills with demonstrated ability to prioritize tasks effectively in fast-paced environments
- Excellent communication skills and professional phone etiquette; bilingual capabilities highly desirable
- Proven ability to handle confidential information with discretion and maintain the highest standards of professionalism
PREFERRED QUALIFICATIONS
- Experience in medical or dental reception environments
- Working knowledge of bookkeeping principles and accounting software such as QuickBooks
- Bilingual proficiency (English plus additional language)
