Job Summary
We are seeking an billingual (spanish and English), energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations. Your positive attitude, excellent communication skills, and ability to manage multiple tasks efficiently will help create a professional and friendly environment. Responsibilities

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately
  • Handle front desk duties including scheduling appointments, maintaining calendars, and coordinating meetings
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
  • Support office operations by managing incoming and outgoing mail, maintaining supplies, and overseeing general clerical duties
  • Assist with bookkeeping tasks and basic bookkeeping responsibilities when needed
  • Maintain a professional appearance and uphold phone etiquette standards at all times

Requirements

  • Proven office management or administrative experience with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Prior experience with multi-line phone systems and customer support roles
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Exceptional attention to detail for proofreading, data entry, and filing tasks
  • Knowledge of medical or dental receptionist duties is a plus but not required
  • Personal assistant or calendar management experience is advantageous
  • Demonstrated professionalism with excellent phone etiquette and customer service skills
  • Ability to handle multiple responsibilities with time management finesse
