Duties

  • Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently
  • Provide comprehensive executive administrative support including email management, document preparation, proofreading, transcription, and data entry
  • Organize and plan events such as meetings, conferences, and company functions with attention to detail and logistical precision
  • Handle phone etiquette by screening calls, taking messages, and direct inquiries appropriately
  • Support accounting activities on expense tracking, reimbursements, and budget-related matters
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of deliverables
  • Conduct data entry with accuracy to maintain organized records and databases
  • Facilitate communication across departments by managing internal correspondence and distributing information efficiently
  • Anticipate executive needs and proactively resolve issues before they arise

Experience

  • Proven experience as an executive assistant or personal assistant supporting senior executives in a fast-paced environment
  • Strong organizational skills with the ability to prioritize tasks effectively while maintaining attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs), and familiarity with Office 365 applications
  • Experience with Concur or similar expense tracking software is highly desirable
  • Excellent typing skills coupled with strong proofreading and transcription abilities
  • Exceptional customer service skills with professional phone etiquette on multi-line systems
  • Ability to handle confidential information discreetly and maintain high levels of professionalism at all times
  • AI knowledge a plus.
