Administrative Assistant – Part Time

Position Summary: Relax Pools is seeking a detail-oriented Administrative Assistant to support our Administrative Department. This part-time role is essential to the smooth operation of finance, vendor, payroll, and operational processes. You will report directly to the Administrator and help ensure the company runs efficiently.
Key Responsibilities:
- Assist with financial transaction management, including entering bills, onboarding vendors, and supporting purchase reconciliations.
- Monitor and respond to emails: Admin Assistant handles general inquiries while escalating important matters to the Administrator.
- Update and maintain subcontractor lists, COIs, and vendor records.
- Support customer billing & accounts receivable, including invoicing Openings/Closings, Cleaning, and sending reminders.
- Assist with tax documentation preparation for monthly, quarterly, and annual filings.
- Support payroll administration, including employee contributions, child support payments, and assisting with audits.
- Maintain operational support systems and applications
- Assist the Administrator with special projects or urgent administrative tasks as they arise to ensure the department and company run smoothly.
Qualifications:
- High school diploma or equivalent; Associate’s degree or bookkeeping experience preferred.
- QuickBooks experience is required.
- Strong organizational skills with excellent attention to detail.
- Strong communication skills, both written and verbal.
- Ability to handle multiple tasks, prioritize effectively, and work independently.
- Comfortable working as part of a collaborative team in a fast-paced environment.
