Prophunters is seeking a reliable and detail-oriented Listing and Admin Coordinator to join our dynamic real estate team. This role combines listing management with administrative support to ensure smooth operations and high-quality property representation across our platforms.

Responsibilities:

  • Oversee day-to-day office operations to maintain an organized and efficient work environment.
  • Provide administrative support to executives, senior management, and sales teams.
  • Create, manage and update property listings on CRM and real estate portals, ensuring accuracy and quality.
  • Ensure all listings are visually appealing and compliant with portal guidelines and DLD regulations.
  • Coordinate with agents to collect media (photos/videos) and ensure timely publication of listings.
  • Prepare and process real estate contracts, including Forms A, B, F, tenancy agreements, and addendums.
  • Ensure compliance with Trakheesi permit regulations, handling permit applications and renewals.
  • Maintain and update CRM systems with accurate property and client data.
  • Assist in the sales process by coordinating documentation, contracts, and client communication.
  • Handle inquiries via phone, email, and in-person meetings, providing timely and professional responses.
  • Maintain accurate records, databases, and filing systems related to real estate transactions and office operations.

Qualifications:

  • Minimum 2 years of experience in a real estate admin and listing role.
  • Strong understanding of listing standards for major Dubai property portals.
  • Familiar with Trakheesi permit processes and Dubai Land Department regulations.
  • Skilled in preparing real estate documentation (Forms A, B, F, tenancy contracts, etc.).
  • Proficient in Microsoft Office Suite, especially Excel and Outlook.
  • Highly organized, tech-savvy, and detail-oriented.
  • Ability to multitask and manage time effectively in a fast-paced environment.
