Responsibilities

  • Manage multi-line phone systems, handle inquiries, direct calls efficiently, and provide exceptional customer support
  • Maintain appointment calendars and schedule property viewings or meetings using calendar management tools
  • Perform data entry, filing, and document proofreading to ensure accuracy in all client and transaction records
  • Assist with office management tasks such as supply inventory, filing systems, and organization of documents
  • Support agents with administrative duties including preparing correspondence, managing emails, and updating CRM systems like QuickBooks or Google Workspace
  • Handle clerical tasks such as typing reports, processing invoices, and maintaining accurate records for bookkeeping purposes

Skills

  • Proven experience in office management or administrative roles within real estate or related fields
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are highly valued to assist diverse clients seamlessly
  • Exceptional phone etiquette and customer service skills to foster positive relationships with clients and team members
