Position Summary

The Front Office Manager plays a key role in both daily clinic operations and the strategic expansion of the practice. This unique hybrid role is ideal for someone who is organized, personable, tech‑savvy, and eager to promote our specialized services to patients and referral sources.

Responsibilities

Front Office & Patient Experience

  • Manage therapists’ schedules to ensure efficient patient flow.
  • Serve as the primary point of contact for patients handling calls, emails, check‑ins, and general inquiries with professionalism.
  • Maintain a clean, organized, and welcoming office environment.
  • Coordinate daily administrative tasks and support basic billing or insurance questions.
  • Communicate effectively with patients to ensure an exceptional in‑clinic experience.

Marketing & Business Growth

  • Build and maintain strong relationships with referral sources and community partners.
  • Confidently communicate the value of our services to prospective patients.
  • Learn and understand the practice’s clinical specialties to educate the community and potential patients.
  • Manage social media channels and create engaging content that highlights our services and expertise.
  • Assist with digital marketing, email campaigns, community outreach, and promotional strategies.
  • Collaborate with the practice owner to plan and execute growth strategies for expanding our niche practice.

Technology & Team Collaboration

  • Use scheduling software, EMR systems, and communication platforms with strong computer proficiency.
  • Work collaboratively with therapists and support staff to maintain a smooth, positive, team‑oriented environment.
  • Assist with reporting and basic analytics related to scheduling, marketing, and practice performance.

Qualifications

  • Experience in healthcare, marketing, customer service, or office management preferred.
  • Excellent verbal and written communication skills.
  • Strong sales mindset and confidence when speaking with prospective patients.
  • Social media proficiency (Instagram, Facebook, LinkedIn).
  • Strong computer and organizational skills.
  • Positive attitude, willingness to learn, and commitment to delivering exceptional service.
