Job Summary

We are looking for a friendly, professional, and organized Customer Service Officer to join our clinic team. The role involves welcoming patients, handling inquiries, scheduling appointments, and ensuring a smooth and positive patient experience from arrival to departure.

The ideal candidate will have excellent communication skills, empathy, and the ability to work efficiently in a busy healthcare environment.

Key Responsibilities

  • Greet patients and visitors warmly and assist them with clinic procedures.
  • Answer incoming calls and respond to patient inquiries regarding services, appointments, and billing.
  • Schedule, confirm, and reschedule patient appointments using clinic management systems.
  • Maintain accurate patient records while ensuring confidentiality and compliance with healthcare policies.
  • Assist patients with registration forms, insurance documentation, and payment processing.
  • Handle patient complaints or concerns professionally and escalate issues when necessary.
  • Coordinate with doctors, nurses, and other departments to ensure smooth patient flow.
  • Support follow-up calls and reminders for appointments, test results, or treatment plans.
  • Maintain a clean, organized reception and waiting area environment.

Qualifications & Requirements

  • Diploma or Bachelor’s degree in Business Administration, Healthcare Management, or related field.
  • At least 1–2 years experience in customer service or front desk operations (clinic/hospital experience preferred).
  • Strong interpersonal and communication skills.
  • Ability to handle sensitive patient information with discretion.
  • Proficiency in Microsoft Office and clinic scheduling software.
  • Strong multitasking and problem-solving skills.
  • Professional appearance and positive attitude.

Preferred Skills

  • Knowledge of medical terminology and basic healthcare processes.
  • Experience with electronic medical record (EMR) systems.
  • Ability to work under pressure in a fast-paced clinic environment.
