Job Summary
We are looking for a friendly, professional, and organized Customer Service Officer to join our clinic team. The role involves welcoming patients, handling inquiries, scheduling appointments, and ensuring a smooth and positive patient experience from arrival to departure.
The ideal candidate will have excellent communication skills, empathy, and the ability to work efficiently in a busy healthcare environment.
Key Responsibilities
- Greet patients and visitors warmly and assist them with clinic procedures.
- Answer incoming calls and respond to patient inquiries regarding services, appointments, and billing.
- Schedule, confirm, and reschedule patient appointments using clinic management systems.
- Maintain accurate patient records while ensuring confidentiality and compliance with healthcare policies.
- Assist patients with registration forms, insurance documentation, and payment processing.
- Handle patient complaints or concerns professionally and escalate issues when necessary.
- Coordinate with doctors, nurses, and other departments to ensure smooth patient flow.
- Support follow-up calls and reminders for appointments, test results, or treatment plans.
- Maintain a clean, organized reception and waiting area environment.
Qualifications & Requirements
- Diploma or Bachelor’s degree in Business Administration, Healthcare Management, or related field.
- At least 1–2 years experience in customer service or front desk operations (clinic/hospital experience preferred).
- Strong interpersonal and communication skills.
- Ability to handle sensitive patient information with discretion.
- Proficiency in Microsoft Office and clinic scheduling software.
- Strong multitasking and problem-solving skills.
- Professional appearance and positive attitude.
Preferred Skills
- Knowledge of medical terminology and basic healthcare processes.
- Experience with electronic medical record (EMR) systems.
- Ability to work under pressure in a fast-paced clinic environment.
