Job Summary

The Sales & Operations Coordinator supports the daily coordination between the sales team, production, logistics, and customers. The role ensures orders are processed accurately, deliveries are scheduled on time, and customer requirements are fulfilled efficiently.

Key Duties & Responsibilities

Sales Coordination

• Process customer orders (PO) and prepare sales orders in the system (e.g., Odoo)
• Confirm product availability and delivery timelines
• Coordinate with customers regarding order status, changes, and confirmations
• Prepare quotations, invoices, and delivery documents
• Maintain customer records and pricing lists
• Follow up pending orders and backorders

Operations Coordination

• Coordinate with production team for manufacturing schedule
• Communicate forecast and order quantities to production
• Monitor stock levels and inform purchasing for replenishment
• Arrange delivery schedules with warehouse and drivers
• Ensure correct picking, packing, and dispatch of goods
• Track shipments and update customers on delivery status

Logistics & Documentation

• Prepare delivery notes, packing list, and shipment documents
• Coordinate with courier/forwarder for local and export shipments
• Assist in export documentation (COO, invoice, packing list, health cert copy, etc.)
• Ensure documents match actual shipment quantities

Reporting & Administrative Support

• Update daily sales and delivery tracker
• Maintain sales forecast and order monitoring report
• Assist in preparing monthly sales reports
• Monitor customer complaints and coordinate corrective actions
• Support inventory reconciliation with warehouse

Customer Service

• Respond to customer inquiries and order requests
• Handle order issues, shortages, or delivery delays
• Coordinate product samples and new product launches

Requirements / Skills

• Strong coordination and communication skills
• Good knowledge of MS Excel and ERP (Odoo preferred)
• Attention to detail and time management
• Ability to multitask and work under pressure
• Basic understanding of logistics and inventory flow
• Experience in FMCG / food & beverage industry is an advantage
