Overview
Busy, growing tree service company looking for a dependable and organized Office Assistant to keep our office running smoothly. This role is perfect for someone who enjoys multitasking, staying organized, and being the first friendly voice customers hear.
Responsibilities
- Answer and manage all incoming phone calls
- Handle vehicle/truck registration and related paperwork
- Track and prepare clock-in/clock-out reports
- Schedule estimates, manage calendars for jobs
- Assist with filing, document proofreading, and organization of office supplies and records
- Support bookkeeping tasks using QuickBooks or similar accounting software
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Submit and keep track of all 811 underground utility request and preparing permits
- Maintain an organized workspace and ensure adherence to office procedures and policies
Qualifications
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience with QuickBooks or bookkeeping is desirable but not required
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to handle multiple responsibilities efficiently in a fast-paced environment
- Previous experience as a receptionist, personal assistant, or in office support roles is advantageous
- Strong attention to detail with proofreading and data accuracy skills
- Familiarity with calendar management and time management tools is preferred
