Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office management tools, and the ability to multitask efficiently in a fast-paced environment. Experience with office software such as Microsoft Office, Google Workspace, and QuickBooks is highly desirable. Bilingual abilities are a plus to effectively serve diverse clients and visitors.

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and maintain calendar management for staff or medical professionals
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Assist with office management tasks including bookkeeping, invoicing, and basic bookkeeping using QuickBooks
  • Support administrative functions such as typing correspondence, managing emails, and supporting customer support efforts
  • Maintain organized records of client information and office supplies inventory
  • Ensure the reception area is tidy and welcoming at all times
  • Utilize Microsoft Office Suite and Google Workspace for daily tasks

Requirements

  • Proven experience in office management, clerical work, or as a receptionist in medical or dental settings preferred
  • Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and basic bookkeeping software like QuickBooks
  • Excellent phone etiquette with experience handling multi-line phone systems
  • Bilingual skills are highly desirable to assist a diverse clientele effectively
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Strong typing skills and attention to detail for proofreading and data entry tasks
  • Ability to manage calendar appointments accurately and support time-sensitive scheduling
  • Previous experience in customer service or administrative roles is preferred
  • Professional appearance and demeanor with excellent communication skills
