Job Summary

We’re seeking a dependable receptionist to support daily operations at our vehicle storage lot. This role is the first point of contact for customers, tow operators, and vendors. You’ll handle check-ins/outs, paperwork, payments, phone calls, and coordination with the yard team to ensure vehicles are released and stored accurately and safely.

Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette.
  • Handle incoming correspondence, emails, and inquiries with accuracy and professionalism.
  • Maintain organized filing systems, perform data entry tasks, and ensure all records are up-to-date and easily accessible.
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events as needed.
  • Support office management tasks such as proofreading documents, managing supplies inventory, and performing clerical duties like copying and filing.
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to support daily operations effectively.
  • Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for clients and visitors.
  • Maintain a tidy reception area, ensuring it reflects a professional environment at all times.
  • Perform additional administrative tasks such as proofreading documents, managing time effectively, and supporting team members with personal assistant duties when required.

Experience

  • Previous office experience or clerical experience is preferred but not mandatory; we value motivated candidates eager to learn.
  • Familiarity with front desk operations, multi-line phone systems, data entry, filing, and basic bookkeeping is highly desirable.
  • Bilingual abilities are a plus to better serve diverse clients and visitors.
  • Strong computer literacy with proficiency in Microsoft Office applications (Word, Excel), Google Workspace tools (Gmail, Calendar), and general office management software.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
