The company seeks a highly organized administrative assistant to support corporate teams—such as service operations—ensuring smooth workflows, high-level organization, and efficient communication across departments.
Key Responsibilities
- Calendar & Travel Coordination: Manage senior-level calendars, schedule domestic/international travel, and arrange meetings.
- Correspondence & Communications: Handle phone calls and emails as primary contact, relay messages, and ensure timely responses.
- Document & Project Support: Prepare/edit reports, presentations, and project dashboards; track action items and assist in Smartsheet or similar tools.
- Filing & Record Maintenance: Maintain organized digital/physical filing systems; manage data entry, spreadsheets, and databases.
- Meeting Support: Assist with agendas, take minutes, and coordinate follow-up tasks.
- Internal Coordination: Liaise with other departments, facilitate approvals/payments, and support team events.
Qualifications & Skills
- High school diploma required; Associate’s/Bachelor’s degree
- 1–3 years of administrative experience, preferably in a corporate, legal, or dealership environment Oracle Cloud7.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational, time-management, written/verbal communication, and problem-solving skills.
- Strong attention to detail, confidentiality, and professional demeanor.
- Must be proactive, adaptable to new tools and processes, and capable of working independently or in teams
