Key Responsibilities:
- Greet clients, visitors, and vendors in a professional and friendly manner.
- Answer and direct incoming phone calls, providing information and assistance as needed.
- Schedule appointments and maintain the office calendar, coordinating with real estate agents and clients.
- Handle incoming and outgoing mail and deliveries.
- Assist in maintaining client databases and updating property listings.
- Perform basic clerical duties such as filing, photocopying, and scanning documents.
- Ensure the reception area is clean, organized, and welcoming.
- Assist with administrative tasks such as data entry, record keeping, and preparing documents for meetings.
- Handle general office duties, including ordering supplies and coordinating with vendors.
- Assist with occasional event coordination and client meetings.
Qualifications:
- Previous experience as a receptionist or in a customer service role, preferably in a real estate or office setting.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (copiers, printers, etc.).
- Ability to multitask, prioritize, and manage time efficiently.
- Attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Knowledge of real estate terms and procedures is a plus but not required.
