Job Summary
Mutasil Business Center is hiring an Office Executive to manage day-to-day business center operations, support office rentals and renewals, and contribute to the growth of our Virtual Office offering. This role requires solid Dubai business center exposure, professional client handling, and the ability to work independently while ensuring operational excellence across facilities, documentation, billing, and vendor coordination.
Key Responsibilities
Business Center Operations
· Manage day-to-day operations to ensure smooth functioning of the business center.
· Coordinate front-office activities, client support, and general administrative tasks.
· Maintain a professional, welcoming environment for tenants and visitors.
Facilities, Supplies & Pantry Management
· Ensure timely replenishment of office and pantry supplies.
· Monitor inventory levels, manage procurement, and coordinate with vendors/suppliers.
· Maintain readiness of common areas in coordination with building and service teams (as applicable).
Contracts, Renewals & Collections
· Manage contract renewals for existing clients/tenants in a timely and organized manner.
· Coordinate invoicing and collection of payments; follow up on outstanding dues professionally.
· Maintain proper records of contracts, renewals, and payments.
Ejari & Documentation
· Handle Ejari registration and related tenancy documentation processes.
· Coordinate with clients, building management, and relevant parties to ensure timely processing and compliance.
Accounting Support & Expense Posting
· Post day-to-day expenses into the company system accurately and on time.
· Maintain organized records for expense documentation and vendor invoices.
Candidate Profile / Requirements
· Minimum 2-3 years of relevant experience in Dubai; preference for business center, serviced office, office leasing, or PRO-related exposure.
· Working knowledge of Ejari registration and rental-related documentation in Dubai.
· Good communication skills (spoken and written) with a professional client-handling approach.
· Ability to work independently, prioritize tasks, and manage operations with minimal supervision.
· Strong organization and follow-up skills, especially for renewals and collections.
· Basic proficiency with office systems/software for expense posting and record management (Excel/CRM/accounting tools are an advantage).
