We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support the Head of Sales in Tabani Real Estate LLC.
Responsibilities:
– Schedule and manage the Head of Sales’ calendar, including meetings, appointments, and travel arrangements. Prioritize and manage time effectively to ensure all commitments are met.
– Act as the primary point of contact between the Head of Sales and internal/external stakeholders. Handle calls, emails, and correspondence on behalf of the Head of Sales, ensuring timely and appropriate responses.
– Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items. Coordinate with other departments to ensure all materials are prepared in advance.
– Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries. Ensure all travel documents are prepared and available.
– Assist in the planning and execution of various projects, including sales initiatives, events, and reports. Track progress and deadlines to ensure timely completion.
– Handle general administrative duties, including filing, data entry, expense reports, and office management. Prepare presentations, reports, and other documents as needed.
– Maintain strict confidentiality of all sensitive information, ensuring that business and personal matters are handled with discretion.
– Build and maintain relationships with clients, vendors, and colleagues to support the Head of Sales in achieving business objectives.
– Anticipate needs and prioritize tasks to ensure the smooth operation of the Head of Sales’ day-to-day activities.
Requirements:
– Bachelor’s degree in Business Administration, Management, or a related field is preferred
-Experience in Real Estate.
– 3-5 years of experience as a Personal Assistant, Executive Assistant, Administrator or similar role, preferably within a sales or corporate environment.
– Excellent organizational and multitasking abilities.
– Strong verbal and written communication skills.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
– Ability to work independently and as part of a team.
– High level of professionalism and confidentiality.
– Strong problem-solving skills and attention to detail.
