Job Summary

We are seeking a highly capable Personal Assistant / Chief of Staff (Lite) to act as the trusted right hand to the General Manager in a fast-moving luxury environment.

This is not a junior PA or purely administrative role. The successful candidate will have full ownership of inbox and calendar management, handle client communications with discretion and professionalism, coordinate priorities across business and personal demands, and proactively solve problems before they escalate.

This role requires judgment, pace, discretion, and confidence operating independently.

Key ResponsibilitiesExecutive & Personal Support

  • Full ownership of inbox and calendar management for the General Manager
  • Acting as gatekeeper: prioritising, filtering, and escalating matters appropriately
  • Managing meetings, schedules, travel, logistics, and personal administration
  • Acting as a point of contact on behalf of the General Manager when required

Client & External Communication

  • Handling client and external communications with discretion and polish
  • Drafting, responding to, and coordinating correspondence
  • Maintaining a consistently high standard aligned with luxury brand expectations

Coordination & Operations Support

  • Acting as a “Chief of Staff lite” across priorities and ongoing initiatives
  • Tracking tasks, follow-ups, deadlines, and moving parts
  • Liaising with internal team members and external partners
  • Supporting light bookkeeping coordination (no direct access to company accounts)

Problem Solving

  • Anticipating issues before they become problems
  • Handling last-minute changes calmly and decisively
  • Finding practical solutions without unnecessary escalation

Required Qualifications (Must-Have)

  • Minimum 5+ years’ experience as a Personal Assistant, Executive Assistant, or similar senior support role
  • Proven experience managing a senior executive’s full inbox and calendar
  • Confident handling client-facing communications
  • Experience working in fast-paced, high-expectation environments
  • Exceptional organisation and follow-through
  • Strong judgment and ability to work independently
  • High level of discretion and confidentiality
  • Fluent written and spoken English
  • Strong working knowledge of Apple and Microsoft products
  • Available to work office-based, UAE hours

Nice to Have

  • Background in luxury brands, travel, or hospitality
  • Experience supporting entrepreneurial or senior leadership roles
  • Exposure to light bookkeeping or finance coordination
  • Familiarity with AI tools and productivity automation
  • Previous experience working in the UAE or similar environments
