Job Summary:

We are looking for a friendly, organized, and professional Administrative Secretary / Receptionist to serve as the first point of contact for our office. This role is essential in supporting daily administrative operations and ensuring a positive experience for visitors and callers.

Key Responsibilities:

  • Greet visitors and direct them to the appropriate staff
  • Answer, screen, and route incoming phone calls
  • Manage front desk operations and maintain a professional reception area
  • Schedule appointments, meetings, and manage calendars
  • Handle incoming and outgoing mail and deliveries
  • Prepare documents, reports, and correspondence
  • Maintain filing systems (physical and electronic)
  • Assist with general office administration and clerical tasks
  • Support management and other departments as needed

Required Qualifications

  • High school diploma or equivalent (Associate’s degree preferred)
  • 3+ year experience as a receptionist or administrative assistant
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational and multitasking abilities
  • Professional appearance and positive attitudes

Preferred Qualifications

  • Experience in a corporate or professional office environment
  • Familiarity with office equipment (phones, printers, scanners)
  • Basic knowledge of record keeping and data entry
