Job Overview

We are looking to hire a Documents Controller who will also handle front desk and reception duties. The ideal candidate must have strong English communication skills and a minimum of 3 years of experience in the same or a similar role. This position requires high attention to detail, strong organizational skills, and a professional attitude when dealing with clients and visitors.

Responsibilities:

  • Manage, organize, and maintain all company documents (contracts, invoices, shipping/export documents, client files).
  • Ensure proper filing and archiving of documents (both digital and hard copies).
  • Track document status and follow up with relevant departments to complete missing or pending documents.
  • Prepare regular reports related to documentation status.
  • Ensure confidentiality and proper document security at all times.
  • Welcome and assist visitors and clients in a professional manner.
  • Answer and direct phone calls efficiently.
  • Manage meeting schedules and appointments.
  • Handle incoming and outgoing mail and deliveries.
  • Provide general administrative support to the office.

Requirements

  • Minimum 3 years of experience in the same or a similar role.
  • Excellent English skills are mandatory (spoken and written).
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills with high attention to detail.
  • Professional appearance and communication skills.
  • Ability to multitask and work under pressure.
  • Experience in automotive, shipping, or export companies is a strong advantage.
